Terms and Conditions

Please read the terms and conditions of McBern Tours and Travel. By confirming a safari with us means that you have read, fully understand and accept the terms and conditions below.

Booking With McBern Tours And Travel

  • McBern Tours and Travel offers transportation, accommodation reservations, restaurant meals, air ticketing, excursions and other services depending on the client’s need.
  • To reserve flights and gorilla permits we need: your full names as they appear in passport, your nationality and passport number.
  • Before confirming a safari, the client must inform us of any preferences and special requests of the participants; especially medical needs, diet, requirements relating to disabilities and any other requirements. McBern Tours & Travel will meet the possible requests. We assume no liability for medical care nor for special diet requirements if not informed long in advance.
  • All packages are subject to availability and not guaranteed until confirmed. Many lodges and hotels have limited capacity and therefore you are required to make reservations well in advance of your planned trip.
  • In the event that you wish to amend your reservation in any way, we will make the adjustments where possible and confirm accordingly. We also reserve the right to charge an amendment fee relative to the actual costs, which will be added to the total bill.
  • McBern Tours and Travel reserves the right to change and re-adjust the tour schedule, transportation, accommodation and services indicated in the itinerary. These changes will only be made in the event of unforeseen circumstances before arrival and will be communicated to the client as soon as possible.

PRICE

  • Prices quoted to our clients are subject to change without notice and are not guaranteed until confirmed in writing. McBern Tours and Travel reserves the right to adjust prices at any time should there be any fluctuation in the exchange rate or increase in the cost of any services for the tour. The company will make every possible effort to minimize any increases and will inform the client as soon as possible.

PAYMENTS

  • McBern Tours and Travel will only confirm bookings after receipt of not less than 30% deposit of the basic program rate. A full advance payment for gorilla and chimpanzee permits is required in order to make the reservation.
  • The payment balance is due no later than 30 days prior to the safari, unless agreed otherwise and for any bookings made within 30days before arrival must be paid in full at the time of confirmation.
  • McBern Tours and Travel reserves the right to cancel any bookings if payments are not received in agreement with the above.
  • You can make the payment by VISA credit card, bank transfer or cash before the start of the tour. Please note that payments by VISA credit card have a 5% service charge which is to be fully paid by the client. Credit card transactions must be made at least two months prior to the start of your safari.

CANCELLATIONS AND REFUNDS

If a person has to cancel the tour because of any circumstances, a cancellation will only be effected after we receive a copy of your written advice to the same. All cancellation requests must be made in writing and shall be effective on the date of actual receipt by McBern Tours and Travel.

60 days or more before arrival 10% charge
31- 59 days before arrival 30% charge
15- 30 days before arrival 50% charge
8- 14 days before arrival 75% charge
0-7 days before arrival 100% charge

Note: McBern Tours and Travel reserves the right to deduct all expenses incurred from money paid. Gorilla and Chimpanzee permits are 100% non-refundable. There will be no refunds made for any unused services, late arrival or no-show of any of the members of the tour.

TOUR EXECUTION

  • Seeing animals is a privilege in their natural habitat and therefore, we cannot guarantee wildlife or game viewing. You must follow instructions as given by the tour guide or wildlife rangers and take caution when viewing the animals. A gorilla or chimpanzee permit guarantees the tourist to track the gorilla or chimpanzee but does not guarantee animals will be in plain sight.
  • Accommodation prices are based on a twin or double bedroom, tent or banda, with private bathroom where possible. Single rooms may be available with the payment of a supplement fee but its availability cannot always be guaranteed. Accommodation also depends on what a client prefers.
  • McBern Tours and Travel reserves all rights to substitute to equivalent or superior hotels. If a hotel or equivalent standard is not available McBern Tour and Travel will replace with the next best quality hotel or suggest superior standard accommodation (extra charges may apply in that case)
  • The type of car used for transport will depend on the number of clients and the route based on the specifications of a chosen itinerary. Cars will be provided in good condition but no liability can be accepted for a puncture, breakdown, damage, or any delay as a result of the unfortunate road conditions.
  • We provide experienced English speaking driver/guides. The driver/guide will always advise on the best route to be taken. In case of unforeseen circumstances, McBern Tours and Travel reserves the right to change any route or agreement, to cancel the operation of any scheduled tour for reasons like road closures, bad weather, problems with national parks or hotels and security considerations. In such cases, alternative arrangements will be made as circumstances allow and communicated as soon as possible.
  • McBern Tours and Travel reserves the right to subcontract services to carry out all or part of the services agreed to be supplied.
  • We also reserve the right to refuse a participant on the tour to participate or keep on any tour if, in McBern tours and travel’s judgment or in the judgment of any other in authority, the participant behaves in such a way that may cause or be likely to cause danger or inconvenience to any third party, damage to property and to the environment. McBern Tours and Travel will not refund and shall not be liable for expenses incurred as a result of this termination.

COMPLAINTS

  • McBern Tours and Travel establishes a long-term and mutually beneficial business relationship with our clients to keep close contact at all phases of our co-operation, to take special care of each and every guest. We will ensure that the company exceeds the expectations of all our clients; however any suggestions are very much appreciated in order to keep improving the quality of our service.
  • We recommend that complaints must be reported immediately to our representative and to the supplier of the service(s) in question, who will do their level best to resolve problem. If you are still not satisfied, then report in writing and not later than 30 days after completion of the tour to enable us examine the matter. We regret that liability for any complaints not notified in agreement with the procedure cannot be accepted.

LIABILITY

  • All arrangements and services offered as part of the tour will be done with first class efficiency in any possible way. In any case, McBern Tours and Travel does not have direct control of the provision of services by the suppliers. We shall not be held liable for errors or omissions of such suppliers.
  • We regret that we cannot be liable or compensate for any loss, damage or injury of any nature whether to person or property. While every care is taken during the tour, McBern Tours and Travel cannot be held responsible for the direct or indirect costs of loss or damage to personal possessions.
  • McBern Tours and Travel cannot accept liability for any unforeseen conditions beyond the company’s or its personnel, including flight delays/cancellations, force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.
  • It is the responsibility of the travel company to ensure that all participants on the tour have the appropriate passports, visas, travel permits, health certificates and other documentation required for the tour.
  • The client has the responsibility to take proper medication and practical precautions in regard to his/her health and safety. We strongly recommend that the client seeks medical advice before travelling.
  • McBern Tours and Travel strongly recommends that clients obtain comprehensive travel insurance before travelling to Uganda. Local evacuation coverage is available with Amref Flying doctors in circumstances of a medical emergency while on your tour with us.
